Girikon entered into a contract with a leading concrete preparation and coating sales specialist with branches across NSW and QLD, Australia. Girikon was engaged to design and create a seamless integration between Lightning-enabled Salesforce Sales Cloud and ‘Unleashed’- an inventory management solution. The client identified that their business required seamless synchronisation of sales orders between their Salesforce CRM and their Inventory Management software.
- To streamline the Point of Sale (PoS) process through a robust integration between Salesforce and ‘Unleashed’.
- Presentation of data in Salesforce from ‘Unleashed’ (Inventory Management system) including Product and Customer Discounts, Gross Profit and Stock in hand to streamline the sales process and reducing the need for team members to log into two systems.
- To ensure that proposals are appropriately presented and sent to customers without requiring adjustment, reformatting, and ordering outside Salesforce.
- To ensure that email templates are utilised efficiently through the automation of user signatures within the Salesforce.
Girikon conducted a series of workshops to understand the business requirement of their Client and presented an integration solution. Girikon was evaluated and selected due to integration solution design and development offered by it to other similar organisations.
The Client is an Australian owned, a leading supplier to the concrete preparation and coating industry, dedicated, motivated team, and high quality, innovative products that provide customers with an excellent Return on Investment. The client’s mission is to make customer’s life easy while help getting the job done in a quick, and efficient way.
During the discovery sessions, the following requirements and pain points were identified:
Streamline Sales Order Managementthrough Salesforce
- Set-up Customer discount so that when a team member views a product the discount is automatically applied.
- Show Gross Profit on individual products when creating quotes in Salesforce.
- Speed up the process for entering Point of Sale (POS).
- Manage Product Stock quantity in Salesforce.
- Proposal templates to be developed to ensure that larger proposals are formatted correctly.
- Utilize email templates for sending proposals.
Requirements were documented and development commenced for the following
- Walk-in Sales Order type when the availability of products in ‘Unleashed’ reflecting “in stock”.
- Walk-in Sales Order type when the availability of products in ‘Unleashed’ is reflected as ‘unavailable’ but in ‘in stock’ in the stores.
- Shipping Sales Order or Phone order management.
- Creation of a custom packing slip.
- Invoice creation and synchronisation between ‘Unleashed’ software and Salesforce.
- Automation of customer and product discounts on Salesforce via the ‘Unleashed’ software.
- Stock Management in Salesforce via the ‘Unleashed’ software.
- Configuring the Proposal / Quotation templates in Salesforce.
- Serial and batch number to be populated from Unleashed (API Integration).
Girikon provided the Client team with a scalable customer relationship solution which gives them the ability to view inventory data in Salesforce, efficient and effective creation of proposals and quotations, and faster processing of sales orders.
The following sales process flows were implemented and integrated with Unleashed:
- Flow 1- Walk-in Sales Order type when the product is in stock.
- Flow 2- Walk-in Sales Order type when the product is not available (not available in Unleashed but is in stock at the store) i.e., Stock issue.
- Flow 3- Shipping Sales order creation when the Product is available/ unavailable in stock.
- Flow 4- Proposal Sales Order Creation
Note: Unleashed is an inventory management system while Xero is a financial management system.

The enhancement of Sales Cloud by Girikon provided the client with a streamlined sales process and improved usability of invoices and packing slips.

Integration
- Synchronisation of Sales Order Status in Salesforce with ‘Unleashed’.
The client team is now able to process sales orders on time due to the integration with the integration software. They can now display and utilise key inventory data for example product and customer discounts, gross profit per product, product serial, and batch numbers by using a single system (Salesforce).
The team can now determine the optimal discount to be applied to a quotation to win the business at a glance, as the product and customer discount are being displayed along with the ability to re-calculate the gross profit based on the discount applied.
Also, the team can generate an invoice or packing slip without the need to log into ‘Unleashed’. This is through the custom development of the invoice and packing slip templates thereby providing a streamlined process to serve customers quickly.
As a result of all the excellent services, work ethics, efforts, and features developed, the final product turned out to be phenomenal thereby meeting the needs and expectations of our Client.
